Managing your customer contacts

Your customer database is the foundation of successful review collection. Learn how to import, organize, and manage your contacts to get the most from your review requests.

Why Your Contact List Matters

Overview

The Contacts page is where you manage your customer database for review collection campaigns. You can add contacts manually, import them in bulk via CSV, merge duplicates, and create prompt pages for individual or multiple contacts at once.

Access it from Contacts in your main dashboard navigation, or through Get reviews > Contacts.

Adding contacts

Manual entry

Click Add contact to open the manual contact form. You can enter the following fields:

  • First name and last name (required)
  • Email address
  • Phone number
  • Full address (street, city, state, zip)
  • Business name
  • Role
  • Notes
  • Category

CSV bulk import

For importing many contacts at once:

  1. Click the Import button
  2. Select your CSV file
  3. Preview the data mapping
  4. Confirm the import

This is the fastest way to populate your contact list when migrating from another system or starting a new campaign.

Editing contacts

Click on any contact to open the edit modal, which has two tabs:

  • Details - Update all contact fields including name, email, phone, address, business name, role, notes, and category
  • Reviews & reminders - View the contact's communication history, upcoming reminders, review submissions, and associated prompt pages

When you change a contact's name, the system will ask whether you want to update the name only on the contact record or also update it across their linked prompt pages.

Deleting contacts

Select one or more contacts using the checkboxes, then click Delete. A confirmation dialog will appear to prevent accidental deletions. You must type a confirmation before the deletion proceeds.

Merging duplicates

The duplicate detection system finds potential matches based on three criteria:

  • Exact email - Contacts sharing the same email address
  • Similar name - Contacts with closely matching first and last names
  • Exact phone - Contacts sharing the same phone number

Click Find duplicates to scan your contact list. When duplicates are found, you can review each group and merge them into a single record, preserving the most complete information.

Bulk actions

Select multiple contacts using the checkboxes to access bulk operations:

  • Bulk delete - Remove multiple contacts at once with confirmation
  • Bulk prompt page creation - Create individual prompt pages for multiple selected contacts simultaneously. You can choose the prompt type and the system will generate pages for all selected contacts with a progress indicator.
  • Select/deselect all - Toggle selection for all contacts on the current page

Campaign integration

Contacts are tightly integrated with your review collection workflow:

  • Each contact can be linked to one or more prompt pages
  • Status tracking shows where each contact is in the review process:
    • Draft - Prompt page created but not sent
    • In queue - Scheduled for sending
    • Sent - Review request delivered
    • Responded - Customer has interacted with the prompt page
    • Received - Review has been submitted
    • Completed - Review process finished
  • Communication records show the full history of emails and messages sent to each contact
  • Review submission history tracks which reviews each contact has left

Sorting and pagination

  • Contacts are displayed 50 per page with navigation controls
  • Sort by various fields by clicking column headers
  • The sort direction toggles between ascending and descending with each click

Plan limits

Contact storage limits vary by plan:

When you approach your plan limit, a message will appear indicating how many contacts you can still add. Upgrade your plan if you need to store more contacts.

Tips for effective contact management

  • Import early - Upload your existing customer list via CSV when you first set up your account to hit the ground running
  • Keep data clean - Run the duplicate finder periodically to prevent fragmented contact records
  • Use categories - Organize contacts by service type, location, or campaign to make targeted outreach easier
  • Track campaign status - Use the Reviews & reminders tab in the edit modal to see where each contact stands in your review collection process
  • Bulk create prompt pages - When launching a new campaign, select multiple contacts and create prompt pages in bulk to save time

Focus on customers who had positive experiences first. They're more likely to leave glowing reviews. Use your CRM or sales data to identify satisfied customers.

Quality Over Quantity

A smaller list of engaged customers beats a large list of cold contacts every time. Aim for 100 quality contacts rather than 1000 random ones.

Personalize Your Approach

Use the information you have about each customer to make your review requests feel personal. Reference specific services, dates, or interactions in your requests.

Timing is Everything

Send review requests when the experience is fresh but not overwhelming. Wait 1-3 days after service completion, before the next interaction.
